A conference is judged on the things nobody notices. The badge that was ready, the coach that was there, the room that was the right temperature at nine.
We manage meetings, conferences and congresses across Italy, from a twenty-person board offsite to a thousand-delegate congress. Venue sourcing, room blocks, registration, transfers, signage, hostesses, technical set-up and the accompanying-person programme that decides how the trip is remembered at home.
Most of this work is unglamorous, and that is the point. The creative part of a congress is a small fraction of it; the rest is a spreadsheet that has to be right.
We will tell you when a city is the wrong choice for your dates. Congress calendars collide, and hotel rates in Rome during a jubilee year are not a detail.
The spreadsheet and the room.
Venue sourcing
Congress centres, hotels, universities, historic halls. Compared on what they actually cost once the extras are added.
Room blocks and rates
Negotiated allocations, release dates managed, attrition explained before you sign it.
Registration and badging
Delegate management, on-site desk, badges that are printed and alphabetised before anyone arrives.
Transfers and shuttles
Airport meet-and-greet, shuttle loops timed to the programme, cars for speakers.
Technical and staff
AV, interpreting booths, signage, hostesses and stewards briefed on your programme, not a generic one.
Social programme
Gala dinner, city tours, accompanying-person days — the part delegates describe when they get home.
Sourcing, then the long middle.
Sourcing
Dates, delegate numbers, room requirements. We come back with cities and venues compared honestly, including the ones we would advise against.
Contracting
Rates, allocations, attrition and cancellation terms negotiated and explained in plain language before signature.
The long middle
Registration, rooming lists, transfers, suppliers, run-of-show. Months of it, with a document you can check at any point.
On site
Our staff run the desk, the shuttles and the floor for the duration.
How many delegates can you handle?
From twenty to about a thousand. Above that, another operator is honestly better equipped, and we would say so.
Do you negotiate hotel rates directly?
Yes. Allocations, release dates and attrition clauses are negotiated by us and explained to you before you sign, because attrition is where congress budgets quietly break.
Can you manage registration as well as logistics?
Yes — delegate management, badging and the on-site desk. If you already have a registration platform, we work inside it.
Which cities work best for a congress in Italy?
It depends entirely on your dates. Rome, Milan, Florence, Venice, Naples and Turin all work; which one is right depends on flight access for your delegates, what else is in the city that week, and the season. That comparison is part of the first proposal.
